Every role, one price
Some agencies charge more for billing, scribing or coding. We don’t. A certified medical coder costs the same as a medical receptionist, so you can choose the role your practice needs instead of the one your budget allows.

Compare a full-time Cloverpo VA with hiring the same role in-house in the U.S., including the benefits and taxes an employer pays.
Number of full-time VAs
Medical scribes don’t have their own U.S. wage category, so they aren’t included here.
*Savings compare our full-time plan ($19,788 a year) with the cost of hiring the same role in-house in the U.S.: the May 2025 median wage from the U.S. Bureau of Labor Statistics, plus employer benefits and taxes (31.5% of total pay costs for full-time private-industry workers, BLS, June 2026). That works out to about 73% savings for a medical coder, 72% for a billing assistant, 70% for an admin assistant and 66% for a receptionist. Your savings depend on the role, your location and the pay you would otherwise offer.

Will you sign a BAA before my VA sees patient data?Yes, always, before any access.
How are your VAs screened and trained?A 10-step hiring process with NBI and reference checks. HIPAA training before day one, with refreshers every quarter.
Where does patient data stay?Only in your systems. Our VAs use encrypted devices, multi-factor login and their own individual logins.
Do specialized roles cost more? No. Every role is $1,649 a month full-time, or $10 an hour part-time.
Are there setup, placement or hidden fees?No setup or placement fees. You pay the published price, plus any local taxes your practice owes.
Am I locked into a contract? No. We work month-to-month, with 30 days’ notice.
What if the VA isn’t a fit, or leaves?A 2-week fit guarantee, then free replacements after that.
Can I hire my VA myself one day?Yes. After 18 months with the same VA, you can hire them directly, with no fee.
You should choose the role your practice needs, not the one that fits a price tier. One price also keeps your budget simple when you add a second VA.
How does billing work?
You get one invoice a month, in advance. Full-time is a flat $1,649. Part-time is billed for the 20-hour weekly minimum, and any extra hours you approved are billed the following month. Invoices are due within 7 days, by bank transfer.
What if my VA is sick or away?
We tell you about planned leave in advance. If your VA can’t work and we don’t provide cover, your full-time fee is reduced for those days. For part-time, missed minimum hours are credited on your next invoice.
What about U.S. holidays?
The full-time fee is a flat monthly fee, so it stays the same in months when your practice closes for a U.S. holiday. That keeps your bill the same every month.
Can I add hours or switch plans?
Yes. Extra hours are $10 an hour and need your approval in advance. You can also move from part-time to full-time whenever you’re ready.
Do your prices include taxes?
Prices are in U.S. dollars. They don’t include any taxes your practice has to pay where it’s located.
What happens if I cancel?
Give us 30 days’ notice. Anything you paid in advance for days after your end date is refunded within 30 days.
