Pricing & billing
See the full pricing page.
How much does a Cloverpo VA cost?
Full-time is $1,649 a month for 40 hours a week, about $9.51 an hour. Part-time is $10 an hour with a 20-hour weekly minimum, about $867 a month. Prices are in U.S. dollars.
Does every role cost the same?
Yes. A certified medical coder costs the same as a medical receptionist, so you can choose the role you need.
Are there setup or placement fees?
No. There are no setup or placement fees. Prices don’t include any taxes your practice has to pay where it’s located.
How does billing work?
One invoice a month, in advance. Part-time is billed for the 20-hour weekly minimum, and any extra hours you approved are billed the following month. Invoices are due within 7 days, by bank transfer.
Can I add hours?
Yes. Extra hours are $10 an hour and need your approval in advance.
Do I pay for days my VA is away?
No. If your VA can’t work and we don’t provide cover, your full-time fee is reduced for those days. For part-time, missed minimum hours are credited on your next invoice.
Getting started
See how it works, step by step.
How do I get started?
Answer a few quick questions on our quote page, see your estimate, then book a free call with our founder to talk through your practice.
How long does it take to get a VA?
It depends on the role, your specialty and your schedule. We give you a realistic timeline on your first call, and we won’t rush a placement just to fill it.
Do I get to choose my VA?
Yes. We shortlist VAs who fit your practice, you interview them, and you choose who joins your team.
Will my VA work in my EHR?
Yes. Your VA works inside the systems you already use, with the access you approve. We match you with a VA who has experience with tools like yours.
Your VA
Compare the five VA roles.
Who are Cloverpo VAs?
Filipino professionals with a healthcare degree or U.S. healthcare experience who have passed our 10-step hiring process. Medical coders also hold a current CPC, CCS or equivalent certification.
What hours will my VA work?
The schedule you set, during your U.S. business hours.
Who manages my VA?
Your team directs the day-to-day work, like any team member. We handle their contract, pay, taxes, training, check-ins and quality reviews.
What happens if my VA is sick or on leave?
Planned leave is agreed with you in advance. If your VA is unexpectedly absent, we let you know as soon as possible, and you don’t pay for days without your VA or cover.
Can I hire my VA directly?
Yes. After 18 months with the same VA, you can hire them directly as your own employee, with no fee. We hand over their workflow guides, and you can keep paid support from us for payroll or HR if you want it.
Security & privacy
Read more about HIPAA & security.
Will you sign a BAA?
Yes, always, before your VA has any access to patient data.
How do you protect patient information?
HIPAA training before day one with quarterly refreshers, individual logins with multi-factor sign-in, encrypted computers checked every quarter, and patient information kept only in the systems you approve.
Can I remove my VA’s access?
Yes, at any time. You control every login. When an assignment ends, we ask you to remove access the same business day.
Contract & guarantees
See our Refund & Cancellation Policy.
Do I have to sign a long-term contract?
No. All plans are month-to-month. If you decide to stop, just give us 30 days’ notice.
What if my VA isn’t the right fit?
If your first VA isn’t the right fit within 14 days, choose a new VA at no extra cost, or end the agreement and pay nothing for those two weeks. After that, replacement VAs are still free.
What happens if I cancel?
Give us 30 days’ notice. Anything you paid in advance for days after your end date is refunded within 30 days.
