How to onboard a healthcare VA securely
Cloverpo Guides · October 2026
A virtual assistant can only protect patient data as well as the setup you give them. This checklist covers the basics most practices should have in place before day one.
Before your VA starts
- Write down the tasks. List exactly what your VA will do. It keeps access focused and makes training faster.
- Check your agreements. Make sure your contract with your VA provider covers confidentiality and data handling. Ask your compliance advisor whether your practice needs a business associate agreement (BAA) for your situation.
- Prepare written workflows. Short step-by-step guides for repeat tasks help your VA get it right the first time, and help anyone who covers for them.
Give access the right way
- One person, one login. Create a separate account for your VA in your EHR, phone system and email. Never share logins.
- Least access needed. Give only the permissions their tasks require. You can add more later.
- Turn on multi-factor authentication for every system that supports it.
- Consider a remote desktop or virtual desktop, so patient data stays on your systems instead of the VA’s computer.
- Keep work in approved tools only. Patient information should never go to personal email, personal cloud storage or messaging apps.
Train on your policies
- Walk through your privacy policies, how to verify a caller’s identity, and what to do if something goes wrong.
- Agree on how urgent clinical questions are escalated to your staff.
- Set expectations for the VA’s workspace: private, quiet, and screens out of view of others.
Keep it secure over time
- Review your VA’s access every few months and remove anything they no longer need.
- Use the audit logs your systems provide to spot unusual activity.
- Have a clear process for reporting a mistake or a possible privacy incident quickly.
When a VA leaves
Remove access to every system on their last day, collect any practice-owned equipment, and update shared passwords if any were ever used. A simple offboarding checklist makes this quick.
How Cloverpo helps
Every Cloverpo VA is screened on how they handle patient privacy, works only inside the systems you approve, and is not permitted to move patient files outside them. During onboarding, our founder helps you plan your VA’s access setup.
